This agreement records how Zime Holdings Accountants may receive and use confidential business information and, where the client chooses, access credentials needed to assess or perform the agreed services.
The client may provide confidential records, system access details and business information only for assessing, onboarding and delivering the professional services selected by the client.
Confidential information includes financial records, payroll information, tax records, company documents, client data, system usernames, passwords, access links, reports, working papers and any non-public business information supplied to Zime Holdings Accountants.
Zime Holdings Accountants will use confidential information only for the agreed professional purpose, will restrict access to authorised personnel who need it for the engagement, and will not disclose it to unrelated third parties except where required by law, a regulator, or the client’s written instruction.
Where possible, the client should use delegated-user access, accountant access, temporary passwords or role-based access instead of sharing a primary owner password. The client confirms that it has authority to grant the access it supplies and remains responsible for complying with the relevant third-party system terms.
The client must not upload or record bank-card PINs, banking app PINs, one-time passwords (OTPs), full payment-card details, biometric credentials, security-question answers or other secrets that a financial institution or platform says must never be shared. OTPs, where legitimately required, should be handled directly and only at the time of access.
Credentials submitted through this website are stored in an encrypted credential vault. Access is restricted to authenticated administrators and sensitive credential viewing requires administrator re-authentication. Zime Holdings Accountants will take reasonable technical and organisational measures to protect information against unauthorised access, loss or disclosure.
Personal information will be handled for the engagement purpose and in accordance with applicable South African data-protection requirements, including the Protection of Personal Information Act, 2013, where applicable.
The client may revoke system access at any time. The client should promptly change or disable credentials when access is no longer required, when the engagement ends, or when the client suspects that a credential may have been compromised.
Records are retained for the engagement, compliance and legitimate business-record purposes. On request, and subject to legal or professional retention duties, Zime Holdings Accountants will return, delete or securely dispose of information that is no longer required.
By signing electronically, the client confirms that the information provided is accurate to the best of its knowledge, that it has authority to disclose the information and grant any access supplied, and that it accepts this confidentiality and systems-access arrangement.
