Step 3 of 4

Confidentiality & System Access

You may share access details only where they are necessary for us to assess or deliver the selected services.

Secure credential handling

Credentials entered here are encrypted before storage. Prefer delegated or temporary access. Do not submit banking PINs, card PINs, OTPs, payment-card details, biometric credentials or security-question answers.

Confidentiality, Systems Access & Credential Sharing Agreement

This agreement records how Zime Holdings Accountants may receive and use confidential business information and, where the client chooses, access credentials needed to assess or perform the agreed services.

The client may provide confidential records, system access details and business information only for assessing, onboarding and delivering the professional services selected by the client.

Confidential information includes financial records, payroll information, tax records, company documents, client data, system usernames, passwords, access links, reports, working papers and any non-public business information supplied to Zime Holdings Accountants.

Zime Holdings Accountants will use confidential information only for the agreed professional purpose, will restrict access to authorised personnel who need it for the engagement, and will not disclose it to unrelated third parties except where required by law, a regulator, or the client’s written instruction.

Where possible, the client should use delegated-user access, accountant access, temporary passwords or role-based access instead of sharing a primary owner password. The client confirms that it has authority to grant the access it supplies and remains responsible for complying with the relevant third-party system terms.

The client must not upload or record bank-card PINs, banking app PINs, one-time passwords (OTPs), full payment-card details, biometric credentials, security-question answers or other secrets that a financial institution or platform says must never be shared. OTPs, where legitimately required, should be handled directly and only at the time of access.

Credentials submitted through this website are stored in an encrypted credential vault. Access is restricted to authenticated administrators and sensitive credential viewing requires administrator re-authentication. Zime Holdings Accountants will take reasonable technical and organisational measures to protect information against unauthorised access, loss or disclosure.

Personal information will be handled for the engagement purpose and in accordance with applicable South African data-protection requirements, including the Protection of Personal Information Act, 2013, where applicable.

The client may revoke system access at any time. The client should promptly change or disable credentials when access is no longer required, when the engagement ends, or when the client suspects that a credential may have been compromised.

Records are retained for the engagement, compliance and legitimate business-record purposes. On request, and subject to legal or professional retention duties, Zime Holdings Accountants will return, delete or securely dispose of information that is no longer required.

By signing electronically, the client confirms that the information provided is accurate to the best of its knowledge, that it has authority to disclose the information and grant any access supplied, and that it accepts this confidentiality and systems-access arrangement.

Optional Credential Vault

Leave this section blank if you will provide access later or use delegated access.

Step 4 of 4

Service Level Agreement & Signature

Review the working terms and electronically sign the onboarding record.

Service Level Agreement

This Service Level Agreement (SLA) sets the working arrangements between Zime Holdings Accountants and the client for the services selected during onboarding. Commercial fees remain governed by the accepted quotation, proposal or invoice unless expressly recorded otherwise.

Zime Holdings Accountants will provide the services selected in the client onboarding record and any additional work subsequently agreed in writing. Work outside the agreed scope may require a separate quotation, approval or revised service instruction.

The client will provide complete, accurate and timely records, approvals, supporting documents and system access reasonably required to perform the services. The client will promptly advise Zime Holdings Accountants of material changes that may affect the work.

Zime Holdings Accountants will perform the agreed services with reasonable professional care, communicate material information and requests, maintain appropriate working records, and keep the client’s information confidential subject to legal and professional obligations.

Target turnaround times depend on the service, completeness of information, third-party systems and regulator processing times. A deadline affected by missing information, unavailable systems, client delays, regulator delays or events outside reasonable control will be adjusted accordingly.

The client authorises Zime Holdings Accountants to communicate using the contact information supplied during onboarding. Material submissions, elections or actions requiring client approval will be confirmed through an appropriate written or electronic record.

Fees, deposits, recurring charges and payment dates are those stated in the accepted quotation, proposal, engagement letter or invoice. Additional work outside scope may be billed separately after client approval.

The confidentiality, systems-access and credential-sharing agreement forms part of the engagement. System access must be limited to what is reasonably necessary for the selected services.

The client onboarding record, signed agreements, selected services, engagement notes and approved supporting documents are maintained in a dedicated client folder within the Zime Holdings client-management system.

Professional work is based on the records and representations supplied by the client and information reasonably available for the engagement. The client remains responsible for the completeness and accuracy of information it provides.

Either party may request a review of the scope when circumstances change. Any change to material scope, pricing or responsibilities should be recorded in writing. Termination and final handover will be handled in accordance with the accepted engagement terms, applicable professional obligations and any outstanding lawful fees.

Electronic acceptance, including the client’s typed name, date/time and acceptance record, is intended to evidence agreement to this SLA and the service scope selected during onboarding.

By submitting, you confirm that the typed name above is your electronic signature and that you are authorised to complete this onboarding for the client.

Your onboarding information is stored in a dedicated protected client folder within the Zime client-management system.
